Speaker Guidelines
Thank you for speaking at PGConf.Asia 2026, November 17–18 in Hong Kong. Use this guide to prepare for your session and your arrival at the conference.
Your Speaker Coordinators
Joanne Huang and Cary Huang are your speaker coordinators and points of contact for questions or urgent help.

For urgent communication regarding the conference, contact Joanne Huang on Telegram at @joannehuang1 or Cary Huang at @caryhuang328. For general inquiries, email contact@pgconf.asia.
Cary and Joanne are normally around the registration area, though they may be moving between rooms. The registration team can help you locate them.
Speaker Profile
Keep your speaker profile up to date with your name, affiliation, biography, and a clear profile photo. Check your accepted proposal and the published schedule for the correct talk title, abstract, co-speakers, session length, room, and start time. Tell the speaker coordinators if anything needs correcting.
Presentation Format
Your assigned slot includes both your presentation and Q&A. Please finish within the scheduled time so the next session can start promptly.
- 45-minute session: we suggest 35–40 minutes of presentation and 5–10 minutes for Q&A.
- 30-minute session: we suggest 25 minutes of presentation and 5 minutes for Q&A.
- Rehearse with a timer, including any demonstrations. Agree on time signals with your room host and follow their reminders.
Presentation Slides
Please use the official slide template:
Download the PGConf.Asia 2026 Speaker Slides Template (PowerPoint, PPTX)
- Use readable fonts, strong contrast, and large code or query examples that can be seen from the back of the room.
- Keep a local copy of your slides and a PDF backup. Bring a backup on a USB drive as well.
- Upload your presentation through your accepted proposal in My Proposals, using the slide upload option when available. Check that you have selected the final version you intend to share.
- Remove passwords, credentials, personal information, and confidential material from slides and demonstrations. Only include material you have permission to present and share.
Power Plugs in Hong Kong
Hong Kong uses Type G power plugs. Please prepare and bring an appropriate Type G plug adapter for your laptop charger and other devices during your stay in Hong Kong.

Laptop and A/V
- Every session room has HDMI input only. Speakers are responsible for bringing and testing the correct adapter for their laptop, such as a USB-C (Type-C) to HDMI adapter.
- Bring your presentation laptop, charger, and required adapters. Do not assume a loan laptop or the correct adapter will be available.
- Disable notifications and automatic updates, and prevent the laptop from sleeping during the talk.
- Before the session, test the projector connection, display resolution, presenter mode, and microphone with the room host or A/V volunteer. If your talk includes audio, test that too.
- Tell the speaker coordinators in advance about any special equipment or accessibility requirements so they can discuss arrangements with you.
Live Demonstrations
Venue Wi-Fi details are TBD. Do not rely entirely on Wi-Fi or live internet access for your presentation. Prepare local data and dependencies where possible, and have screenshots, a recording, or slides ready as a fallback if a demo or connection fails. Test the demonstration on the laptop you will use and keep it within your session time.
Speaker Check-in
On arrival, go to the registration desk in Foyer A to complete speaker check-in and collect your speaker badge and other materials. Wear your badge throughout the conference.
Find your assigned room and meet the room host before your session. Confirm your name, pronunciation, talk title, introduction, and session length. Allow time to test your laptop and A/V setup before the session begins, without interrupting a talk already in progress.
Session Rooms
Check the latest schedule for your assigned room and time, and follow the signs at the venue. Room assignments may change, so check again on the day. Ask the registration team or speaker coordinators if you need help finding your room. Keep doorways clear and leave the presentation area ready for the next speaker.
Q&A
Reserve time for questions within your slot. Let the room host manage the question queue and microphone. Repeat questions into your microphone if needed so everyone can hear them and they can be captured in the recording. If time runs out, invite attendees to continue the discussion after the session outside the room without delaying the next talk.
Recording and Photography
Sessions are planned to be recorded, and conference photographers will take photos. Prepare slides and demonstrations with this in mind. If you have concerns about recording, photography, or sharing particular material, contact the speaker coordinators before your session to discuss arrangements.
Respect attendees' photo preferences: blue lanyards indicate consent to photography; red lanyards indicate no consent. If you take photos, check the entire frame, including the background, and avoid including attendees wearing red lanyards.
Conference Registration
Speakers must also register and obtain a conference ticket. Complete the ticket purchase process on the registration page and use the voucher we sent you by email at checkout to waive the conference ticket cost. An accepted talk does not automatically register you. Keep your registration confirmation for check-in. If the voucher does not work, contact the organizing team before paying.
Travel and Venue
The conference takes place at InnoCentre, 72 Tat Chee Avenue, Kowloon Tong, Kowloon, Hong Kong, on November 17–18, 2026. See the Attend page for venue directions, travel and accommodation information. Plan your journey with enough time for registration and equipment checks.

Code of Conduct
Read and follow the conference Code of Conduct. It applies to your presentation, slides, demonstrations, Q&A, and interactions throughout the event. Keep your content and discussions respectful and inclusive, and follow the reporting instructions in the Code of Conduct if you need assistance.
Changes or Cancellations
Contact the speaker coordinators as soon as possible if you cannot attend, expect to arrive late, need to change your talk or co-speakers, or encounter a problem that could affect your session. Include your name, talk title, scheduled session, and the change you need. Discuss schedule changes with the organizing team rather than arranging a swap independently.
Before You Arrive
Recheck your profile and the latest schedule, complete ticket registration, download the slide template, and rehearse your presentation. Save your slides, demo materials, registration confirmation, venue directions, and coordinator contact details offline. Allow time for travel delays and tell the coordinators about any unresolved requirements.
